Job Description
The Office Administrator has responsibility for the effective and efficient management of the Office, and for coordinating a variety of administrative and secretarial duties in support of the senior management team.

The Office Administrator communicates with all Departments/Units that report to the CEO, and also acts as the key contact for the CEO’s Office in its relationship with all members of the Company. The incumbent must therefore possess knowledge of all core Company activities, as well as be capable of adjusting to frequent changes requiring multi-tasking proficiency in assisting in the achievement of the Company’s core mission.

Work assignments are often complex in nature, and considerable judgment, tact, creativity and initiative are required in resolving problems. Candidates will have excellent interpersonal skills; the ability to work independently with solid judgment and decision-making ability; excellent oral and written communication skills; ability to gather data, compile information and prepare background materials; superior time management and organization skills; and sound demonstrated computer and technical knowledge (i.e., proficiency in Word, Excel, email, internet, and calendaring systems).

In-depth knowledge of the Company’s core operations and structure, knowledge of Company policies and procedures, and the ability to deal effectively with all members of the Company is essential. Flexibility and the ability to prioritize are key skills required in this role.

Responsibilities:

  • Manage the overflow from our automated telephone attendant;
  • Work with clients to fulfill their various orders and requests as needed;
  • Estimating, Invoicing and Purchasing of hardware and software;
  • Shipping/receiving; product returns; general mail administration;
  • Project coordination, incl. scheduling technicians’ on-site visits;
  • Liaison with outside technicians and in-house helpdesk analysts;
  • Assist with proposal proofing; drafting other routine documents;
  • Credit card processing and bank deposits;
  • Benefits plan administration;
  • Travel arrangements for senior executives;
  • General administrative duties;

Minimum requirements:

  • University degree or equivalent experience;
  • Computer literacy (productivity tools, contact management & accounting tools);
  • Comfortable working in a very demanding environment;
  • Excellent interpersonal/communication skills;
  • Pleasant and professional telephone manner;
  • Resourcefulness;
  • Excellent decision making and problem solving skills;
  • Ability to multitask and work well under pressure;

This position typically requires a university degree in a related discipline (Business Administration) along with at least 5 years of operations/administrative experience. Interested candidates should be fluent in English, possess strong telephone skills, and work well in an energetic team environment. Experience in the IT Industry is an asset, but not required.
